This policy applies to information we collect through the Site. For client engagements, our handling of personal information is governed by the applicable client agreement.
Please read this policy carefully. By using the Site, you agree to the practices described here.
1. Information We Collect
1.1 Information You Provide
We collect information you choose to give us when you fill out a form, request information or a proposal, subscribe to a newsletter, request a meeting, comment on content, or otherwise contact us. This may include:
- Identifiers such as name, email address, phone number, mailing address, job title, and company name.
- Professional information such as your role, industry, company size, and the nature of your inquiry.
- Communications you send to us, including the content of emails, form submissions, and meeting notes.
- Any other information you choose to provide.
1.2 Information Collected Automatically
When you visit the Site, we and our service providers automatically collect certain information about your visit and your device, including:
- Internet and network activity such as IP address, browser type and version, device identifiers, operating system, referring URL, pages and content viewed, links clicked, time spent on pages, and timestamps.
- Approximate geolocation derived from your IP address (country, region, or city level), not precise GPS location.
- Inferences drawn from the above to understand your interests and how you engage with the Site.
1.3 Information from Third Parties
We may receive information about you from third parties such as marketing partners, lead-generation providers, social media platforms, public databases, and contact-enrichment services (for example, to verify a job title or company size when you submit a form). When we combine third-party information with information you have provided, we treat the combined information as covered by this policy.
2. How We Use Information
We use the information we collect to:
- Respond to your inquiries, fulfill your requests, and provide the information or services you have asked for.
- Operate, maintain, secure, and improve the Site and our content.
- Send you marketing communications about Grey Matter services, content, and events you have requested or that we believe will be relevant to you, where permitted by law.
- Personalize your experience on the Site and tailor the content and offers we present to you.
- Conduct analytics and research to understand how visitors use the Site.
- Measure and improve the performance of our marketing and advertising.
- Protect the rights, property, and safety of Grey Matter, our team, our clients, and the public, including detecting and preventing fraud and abuse.
- Comply with legal obligations, respond to lawful requests, and enforce our agreements and policies.
We do not use sensitive personal information for purposes that require an opt-out or limitation under applicable law beyond the purposes described in this policy.
3. Cookies and Tracking Technologies
The Site uses cookies, pixels, tags, web beacons, software development kits, and similar technologies (collectively, "Tracking Technologies") operated by us and by third parties. Tracking Technologies fall into the following categories:
- Strictly necessary. Required for the Site to function (for example, security, load balancing, and remembering form submissions during a session). These cannot be turned off.
- Analytics. Help us understand how visitors find and use the Site so we can improve it. Providers may include Google Analytics 4, Google Tag Manager, and Microsoft Clarity.
- Advertising and marketing. Help us measure marketing effectiveness, retarget visitors with relevant ads, and reach similar audiences on other platforms. Providers may include Google Ads, LinkedIn Insight Tag, Meta Pixel, and HubSpot tracking. Some of these activities are considered "sale" or "sharing" of personal information under California law (see Section 7).
- Functional. Remember your preferences and provide enhanced features such as embedded video, chat, or scheduling tools.
You can control non-essential Tracking Technologies through the cookie consent banner presented when you first visit the Site, through your browser settings, or through industry opt-out tools provided by the Network Advertising Initiative (networkadvertising.org/choices) and the Digital Advertising Alliance (aboutads.info/choices). Disabling some Tracking Technologies may affect Site functionality.
Global Privacy Control. We honor opt-out preference signals sent by your browser or extension, including the Global Privacy Control (GPC) signal, where required by applicable law. When we detect a GPC signal from your device, we treat it as a request to opt out of the "sale" or "sharing" of personal information for that browser and device.
4. How We Share Information
We share personal information in the following ways:
- Service providers. We share information with vendors that perform services on our behalf, including website hosting, email delivery, customer relationship management (such as HubSpot), analytics, advertising operations, scheduling tools, and IT and security services. These vendors are contractually limited in how they may use the information we provide.
- Advertising and analytics partners. We share certain online activity information with advertising and analytics partners as described in Section 3. Some of this sharing may be considered a "sale" or "sharing" of personal information under California law and similar state laws.
- Professional advisors. We may share information with our lawyers, accountants, auditors, insurers, and other advisors when reasonably necessary.
- Legal and safety. We may disclose information when we believe in good faith that disclosure is required to comply with a legal obligation or lawful request, to enforce our agreements and policies, to protect the rights, property, or safety of Grey Matter, our team, our clients, or others, or to investigate and address fraud or security issues.
- Business transfers. If Grey Matter is involved in a merger, acquisition, financing, reorganization, or sale of all or part of our business or assets, personal information may be transferred as part of that transaction, subject to appropriate confidentiality protections.
- With your direction or consent. We may share information for any other purpose disclosed to you at the time of collection or with your consent.
We do not sell personal information for money. Some of our advertising practices may, however, qualify as a "sale" or "sharing" for cross-context behavioral advertising under California and other state privacy laws. You can opt out as described in Sections 3 and 7.
5. Data Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, including to provide services and information you have requested, to operate and improve the Site, to maintain business records, and to comply with our legal obligations, resolve disputes, and enforce our agreements. When we no longer need personal information, we take reasonable steps to delete or de-identify it.
6. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, and disclosure. These include access controls, encryption in transit, vendor due diligence, and employee training. No system is completely secure, however, and we cannot guarantee the security of any information you provide to us. You use the Site and provide information at your own risk.
7. Your Privacy Choices
7.1 Marketing Communications

You can manage Tracking Technologies through the cookie consent banner on the Site, your browser settings, and the industry opt-out tools described in Section 3. We honor Global Privacy Control signals where required by applicable law.
